The client portal
What your clients see, how they sign in, and self-signup.
The client portal is where your clients sign in to see their voice agents, calls and reports. It carries your name, logo and colours from sign-in to footer, and it never shows the Wozena name. This page explains what clients see and how they get in.
Plan: Branding and self-signup require a plan that includes white-label. A custom portal address requires a plan that includes custom domains.
Your portal address#
Your portal lives at <your-slug>.iwozena.com, for example northbeam.iwozena.com. The slug is the “Workspace address” you chose when you created your agency. See Create your agency.
- It uses lowercase letters, digits and hyphens, up to 48 characters.
- Some words are reserved and can’t be used, such as
app, www, admin, portal, supportandwozena. - You can’t change it after your agency is created.
To use an address on your own domain, such as portal.youragency.com, add a custom domain. Once it’s verified, links in client emails point there.
What your clients see#
Every surface below uses the settings from White-labelBrand identity. See Branding.
Sign-in page
- Your logo (or a letter icon if you haven’t uploaded one) and your company name.
- A panel in your primary colour.
- The heading “Welcome back” with “Sign in to your [agency] workspace.”
- A “Don’t have an account? Sign up” link.
- People you’ve invited see “You’ve been invited by [agency]”.
Signup page
- The heading “Create your account”, or “Create your invited account” for someone with an invitation. For invited users, the email is filled in and locked.
- Fields: “Full name”, “Business / account name”, “Email” and “Password” (at least 12 characters), then “Create account”.
- Your terms and privacy links, as “By signing up you agree to the Terms and Privacy Policy”.
- “Powered by [agency]” at the bottom.
- After signing up, the client sees “Check your email” and gets a verification email from you.
Inside the portal
Your company name in the sidebar and browser tab, your favicon, and buttons and navigation in your primary colour.
Footer
Your terms, privacy and support links plus your social icons appear on your sign-in and signup pages, and inside the portal for client users. If you haven’t set any of these, no footer appears.
Emails
Invitations, verification, password resets and payment emails carry your brand. They come from your own address once your sending domain is verified. See Email and sending domain.
What each side sees#
Your clients get your brand. You and your team get Wozena’s.
| Your clients | You and your team | |
|---|---|---|
| Pages | Your name, logo, colours and favicon. | The agency workspace with all your clients. |
| Emails | Your brand, from your sending domain or a neutral address. | From Wozena. |
| Footer | Your terms, privacy, support and social links. | Not shown. |
| White-label page | “Managed by your agency” | Full settings, for owners and admins. |
Invitations or self-signup#
There are two ways a client gets an account.
| Invitation | Self-signup | |
|---|---|---|
| How it starts | You create the client and invite its users. | The client signs up at your branded signup page. |
| Who can join | Only people you invite. | Anyone with the link. |
| Workspace | Joins the client workspace you invited them to. | A new client workspace is created. The person who signs up becomes its client admin. |
| Expiry | Invitations expire after 7 days. | The link works while self-signup is on. |
| Needs | Nothing extra. | A plan with white-label, an active Wozena subscription, and room within your plan’s client and seat limits. |
To invite a client, see Clients and Team, roles and invites. If you want new clients to pick a plan and pay as they sign up, use plan links instead.
Turn on self-signup#
- Open Brand identityGo to White-labelBrand identity.
- Turn on the toggleSwitch on “Allow clients to self-register on your signup page”.
- SaveClick “Save branding”.
- Share the linkCopy the signup link shown under the toggle. It looks like
https://northbeam.iwozena.com/signup. The same/signuppath also works on your verified custom domain.
With the toggle off, anyone who opens your signup page without an invitation sees “Signups are by invitation only”.
Before you invite your first client#
- All five chips in “Client brand readiness” are green: company name, logo, brand colour, support, and legal links. See Client brand readiness.
- A sending domain is verified, with a reply-to address. See Email and sending domain.
- If you’re using one, your custom domain shows as verified. See Custom domains.
- You’ve opened your portal address in a private window and checked the sign-in page looks right. Changes can take up to about five minutes to appear there.
- You’ve decided between invitations and self-signup.
Common questions#
Can I change my portal address?
No. The slug is fixed once your agency is created. Add a custom domain to give clients a different address.
Will my clients ever see the Wozena name?
No. Titles, favicon, emails and the footer all use your brand. Before a custom domain is verified, it shows a neutral sign-in page, not ours.
A client says the sign-in page still shows my old logo
Signed-out pages can take up to about five minutes to update. Ask them to reload after that.
What happens to my portal if my agency is suspended?
Your portal address stops showing your branding while your agency is suspended or canceled. See Your Wozena plan.
