How Wozena works
The pieces — your agency, your clients, Retell and Stripe — and who owns what.
Wozena is the platform you run your AI voice agency on. You build phone agents for small businesses, put them on real phone numbers, and sell them under your own brand. Your clients pay you directly. This page explains how the parts fit together, so the rest of the docs make sense.
The model in one minute#
You are the agency. Your customers are your clients: dental practices, plumbers, real-estate teams and other businesses that miss calls. For each client you build one or more voice agents that answer or place calls on their behalf. The people who talk to those agents are callers.
- The voice runs on your own Retell AI account. You connect it once with an API key.
- Billing runs on your own Stripe account. Clients subscribe to plans you design and pay you directly.
- Everything your clients touch (the portal, sign-in pages and emails) carries your brand, not ours.
- You pay Wozena a flat monthly platform fee. We don't take a cut of what you charge your clients.
The pieces#
| Piece | What it is | Set it up in |
|---|---|---|
| Your agency | Your workspace on Wozena, with its own address such as northbeam.iwozena.com. | Create your agency |
| Retell AI | The voice engine behind every agent: speech, voices, telephony and call costs. | Connect Retell |
| Voice agents | A prompt or a conversation flow, plus a voice, tools and knowledge. Each belongs to your agency or to one client. | Build an agent |
| Phone numbers | Numbers you buy or import, each routed to an agent, with optional business hours. | Phone numbers |
| Clients | A separate workspace per business you serve, with its own agents, numbers, contacts, calls and users. | Clients |
| Stripe | Your payment account. Client plans, checkouts, invoices and usage charges all live there. | Connect Stripe |
| Your brand | Name, logo, colours, footer links, a custom domain and a sending domain for email. | Branding |
Who owns and pays for what#
You bring your own accounts, so the money flows are simple and you keep the margin.
| Cost or revenue | Who pays whom | Notes |
|---|---|---|
| Call minutes and voice usage | You pay Retell | Billed by Retell on your Retell account, at your Retell rates. |
| Phone numbers | You pay Retell | Numbers you buy through Wozena are created on your Retell account. |
| Your client's subscription | Your client pays you | Through Stripe Checkout on your Stripe account. You set the price. |
| Your client's extra minutes and numbers | Your client pays you | Added automatically to their next Stripe invoice. See billing clients. |
| The Wozena platform | You pay Wozena | A flat monthly fee for your agency plan. |
Because you set both the client price and the included minutes, you control your margin. The Client Billing overview shows revenue, recorded Retell cost and gross margin per client. See Billing clients.
Agency and client workspaces#
Everything in Wozena lives either at agency level or inside one client's workspace.
- Agency-wide is your home view. You see every client, your billing and your provider connections.
- A client workspace holds that client's agents, phone numbers, knowledge bases, contacts, campaigns, integrations and calls. Client users only ever see their own workspace.
- You can switch into any client with the workspace switcher to work as they would. A banner reminds you that you are “Viewing as” that client.
What your clients see#
Your clients sign in at your portal address, either your-slug.iwozena.com or your own domain such as portal.youragency.com. They see your name, logo, colours, support links and legal links. Their emails come from your brand too. They never see the Wozena name, your Retell costs or your other clients.
What they can do inside their workspace is up to you. Per-client “Access controls” decide whether a client can build agents, buy numbers, run campaigns and so on, or whether you manage those for them. See The client portal and Access controls.
Two kinds of plan#
Two separate subscriptions decide what can run, and it helps to keep them apart:
| Plan | Who subscribes | What it controls |
|---|---|---|
| Your Wozena plan | You, to Wozena | Which features your agency has (white-label, custom domains, campaigns, integrations and more) and how many clients, agents and seats you can have. |
| A client plan | Your client, to you | Their price, included minutes, overage rates and caps. You design these in Client Billing. |
Anything that costs money needs both to be active: publishing an agent, placing calls, buying numbers and running campaigns. Without a Wozena plan you can still build and edit agents as drafts. See Your Wozena plan and Client plans.
A call, end to end#
Here is what happens when a caller rings one of your client's numbers:
- The number is routed to an agent, directly or according to its business hours and after-hours rules.
- The agent answers in its voice and follows its prompt or flow. It can look up the caller in the CRM, check the calendar and book an appointment while the caller is on the line.
- When the call ends, the recording, transcript, summary and your post-call analysis fields appear under Calls.
- Automations then run: update the CRM, create a deal, or post the call to a webhook for Zapier, Make or n8n.
- The minutes are metered against the client's plan. Anything over the included allowance is added to their next Stripe invoice.
